1. Getting started
After subscribing, you receive an email when your InvoiceBloom environment is ready (within minutes). It has a link to the dashboard and a Start the setup wizard button.
The first person to subscribe is the Admin.
2. Setup wizard
It takes about 10 minutes:
- Company name.
- Gmail. Connect the invoice mailbox and choose its type: a mailbox used only for invoices, or a shared mailbox where a Gmail filter marks invoice emails.
- Slack. Add InvoiceBloom to the workspace. It creates the channels #ap-approvals, #ap-review and #ap-alerts. Then choose approvers, backup approvers and the amount above which two approvers are needed.
- QuickBooks. Connect the company.
When everything is set, you get a "Setup is done" email.
3. How invoices flow
- The mailbox is checked every minute.
- The AI reads each invoice and checks it.
- The invoice is matched to your QuickBooks vendor and accounts.
- A card appears in #ap-approvals with Approve, Edit and Reject (with a reason).
- Problems go to #ap-review, and system alerts to #ap-alerts.
- Approved invoices become bills in QuickBooks (Expenses → Bills) with the original invoice attached.
4. Users and roles
- Admins manage Setup and users and can make other users Admin.
- Users can do everything else.
- Users sign in with a Google account.
5. The dashboard
Overview, exceptions, accuracy, invoice details, data export.
6. Disconnecting and reconnecting
QuickBooks, Gmail and Slack can each be disconnected and reconnected from the Setup page.
7. Billing and usage
See the Pricing page for plans, included invoices and overage billing.
